Customer Complaint Response Letter

It is known that handling complaints at the most polite and reasonable manner is very important for any business that wants to maintain its good relationship with its customers.

Here is a statement of action letter from Customer Service on replying to a customer complaint letter. This is also commonly known as an adjustment letter.


Customer Complaint Response Letter

Dear Miss Sara,

We are very sorry you are having difficulty with our product. We would like to assure you that we want to be of assistance.

We would like you to take note of the proper usage of said product on Page 6 of the instruction manual. The correct steps in opening the case of the said product is important to ensure good performance of the item. We recommend cleaning the item once a month to keep it free from lint, dust or any debris that may clog its parts.

If the results do not improve, you may take the product to our nearest retail center with the attached warranty and product code.

Your interest in bringing up this matter to our attention is very much appreciated.
